Use of the e-Recruitment Service
In order to apply for a vacancy using this service, you are required to register your details, and confirm that you agree to these Terms and Conditions. Registered users of the system may create, maintain, and submit applications for specific vacancies at Ulster University.
To register with the e-Recruitment service you are required to provide some limited personal information, such as your email address, and your first and last names.
To apply for a vacancy you will be asked to supply additional personal informationusingtheonlineapplicationform.Theinformationrequestedwill depend on the vacancy you are applying for, and will typically include your contact details, qualifications and employment history, referee details, and equality and diversity monitoring information.
Until you submit an application to Ulster University, the information you enter using the online application form will not be made accessible to anyone, and will be retained for the sole purpose of enabling you to apply for a vacancy in future. Your registered email address shall only be used to contact you with important information regarding the application process. You should therefore ensure you have included an email address which you will have regular access to.
Ulster University will periodically delete applicant details and where this applies you will be required to register again to use the service. When you submit an application, the information you supply on your application form will be provided to a selection panel, who will use it to assess your suitability for the post against the published selection criteria. You may be contacted on any date regarding your application. Please note that the information collected in the equality and diversity monitoring section does not form part of the assessment of your application. It will not be shared with the selection panel or anyone with responsibility for the administration of the selection process. In line with the Fair Employment (monitoring) Regulations(Northern Ireland)1999 (as amended), the Equality Commission NI also require Ulster University to provide figures (without providing an individual’s identity) on the gender and the community background of all applicants and employees. Please note where an applicant states ‘neither’ in regard to their community background, we are obliged by the Equality Commission NI to use the residuary method of making a determination, which means that we can make a determination as to your community background on the basis of the personal information supplied by you in your application form/personnel file in line with the Equality Commissions published guidance.
If you are successful in your application, and are offered a post with Ulster University, you will be required to provide original documentary evidence of information submitted on the application form, including qualifications.
Your information is held securely by Ulster University. The data will not be passed to external organisations or individuals other than those involved with the selection process, e.g. external body, funding providers or other third parties involved in the recruitment process.
If appointed, your application information will be retained as part of your confidential staff record. Ulster University is required to provide data about its staff to the Equality Commission NI, and information you provide on your application form may later be used for this purpose. The University is also required to provide data about staff to the Higher Education Statistics Agency (HESA),information you provide on your application may later be used for this purpose.
If you are unsuccessful your application will be removed from the system no less than 12 months after the final decision is recorded on the vacancy. The University may retain information for longer when required to do so to comply with UK employment and immigration regulations and other statutory reporting requirements
