What to expect from the application and interview process

Guidance on the application, shortlisting and interview process at Ulster University

Our new applicant portal launched in January 2026. If you had an account with us previously, you will need to recreate an applicant account to apply for vacancies.

Steps in the Recruitment Process

1. Application
An online application form is completed and submitted by the candidate. The application form includes sections for personal details, education & qualifications, current and previous employment, references and job related questions.
Within the job related questions section the candidate must evidence how they meet the criteria for the job.

2. Shortlisting
Applications are then sent to the shortlisting panel to be assessed against the criteria for the role. Applicants who are not successful will receive an email advising them of same.
3. Interviews
Shortlisted applicants will receive an invitation to the next stage. This may be in person or via MS Teams. The interview may take the form of questions, similar to the job related questions section of the application form. Candidates can prepare by checking the candidate briefing document which specifies which questions are covered in the application form and which are to be covered at interview. Some interviews may include another form of assessment such as a presentation, written exercise or practical test. You will be advised of this in advance.
4. Provisional offer
Successful applicants will initially receive a provisional offer which is subject to satisfactory pre-employment checks.
5. Contract
On successful completion of all pre-employment checks, the candidate will receive a formal contract of employment with the confirmed start date.

Feedback Requests

Where an applicant is not shortlisted for interview or is unsuccessful at interview it can be both personally and professionally disappointing. Applicants may wish to obtain feedback on an interview decision as part of their personal development. Unfortunately, due to the high number of applications received we are unable to provide feedback on shortlisting. Please download a copy of our Tips for Applicants Guidance to assist you with future applications.
